Thank you for taking part in our special wellness community. Below are the policies and procedures that allow us to be most efficient and provide the best service possible.
Payment
Payment is due in advance of any Balance Life services. It is the client’s responsibility to make sure their account is current.
An active electronic payment method must be saved on each account.
MC, Visa, AMEX, Discover, ACH Debit are accepted
Credit cards are charged a 3% processing fee, ACH Debit = no fee
If an account payments are not current, Balance Life reserves the right to withhold the associated services.
Group Fitness/Small Group Training: Payment is required to complete a reservation to attend a group fitness class, small group training or workshop of any kind.
Private & Semi Private Training: Payment is required 24 hours before the scheduled session.
Training packages automatically reload. Client receives an email notification when a package has 2 sessions remaining. When sessions reach 0 a new package is purchased.
If no training package is in place, session will be charged at the base rate 24 hours in advance.
Group Fitness
All customers are required to have a membership to reserve Group Fitness Classes or Small Group Training sessions.
All participants must schedule group fitness or small group training services through Momence in advance.
Drop-ins will be permitted if capacity allows.
All group fitness/SGT clients must check in at the front desk.
You are expected to begin at the start time of the scheduled group fitness class or small group training session. If you are 5 minutes late without notice, your space may be given to someone on standby.
Cancellations must be made 12 hours in advance to receive credit back for the session. Cancellations inside of the 12-hour window or unattended sessions credit(s) are forfeited.
Clients with unlimited class plans will have the associated rate charged for a late cancellation or missed class/SGT.
Waitlists are available for every class/SGT. When a spot becomes available 12 hours or more before the start of class, waitlisted clients will receive an email (or text if opted in) confirming they are placed into class. The client assumes responsibility for that class. If you change your mind, please cancel outside of the 12-hour window to avoid forfeiting the credit.
Balance may manually move you into class closer to the start time. If you cannot make it on short notice, let us know and your class credits will be restored.
Personal Training
Book your training sessions directly with your trainer. You will receive both a confirmation email as well as a reminder of your appointment 24 hours before the session.
All training clients must check in at the front desk.
You are expected to begin at the start time of the scheduled training session. If you are late, the time is deducted from your session.
If you need to cancel a training session, you must do so by contacting the trainer 24 hours prior to the appointment or you will forfeit your training session or be charged the associated rate.
In special circumstances and if the trainer’s schedule permits, we may agree upon a shorter notice period, in which case you will not forfeit your training session.
In the event your trainer no longer works for Balance, you will be provided new options to prevent disruption of service.
Open Gym
Open Gym access requires an active Balance membership.
All members must check in at the front desk every visit.
Patrons must use good judgment, follow posted rules, and act safely at all times.
Equipment should only be used if you are familiar with its proper and safe operation. If you are unsure how to use a piece of equipment, please ask staff for assistance before attempting.
Balance staff reserves the right to stop any unsafe use of equipment or behavior that violates gym rules.
Members are expected to respect others’ workouts and share equipment during busy times.
Expiration / Refund
Balance Fitness Plans can be temporarily frozen one time per 12-month period. Contact the studio for more information.
In the event your trainer no longer works for Balance, you will be provided new options to prevent disruption of service.
Membership accommodations require written request and are at the discretion of management.
Refunds are generally not provided except in rare circumstances upon written request and at the discretion of the management.
Studio Etiquette
Make Proper Hygiene a Priority
While a little bit of body odor is natural in a gym, you should do your best to practice personal hygiene before your workout. Wear clean workout clothes, use deodorant, and bring a small towel. Wipe sweat as you go so the equipment stays fresh for the next person. And pease avoid wearing strong fragrances.
Respect People’s Personal Space
Give people room to move safely. Set up your bench or mat so you are not blocking someone’s mirror view or exercise lane. On cardio rows and treadmills, leave a buffer area when machines are open so neighbors can focus.
Wipe Equipment Before and After Use
Clean benches, pads, handles, touchscreens, and attachments when you finish. Since sometimes other people forget to clean cardio or strength training equipment, it doesn’t hurt to do a quick wipe before you start.
Re-Rack Weights Where They Belong
Return dumbbells to the correct slots and plates to the right pegs, light to heavy. Clear barbells and machines when you are done, so others can lift right away.
Follow Any Posted Rules
Check signage and ask staff for guidance if you’re confused about any of the rules.
Place Bags and Bottles Out Of Traffic
Keep walkways, platforms, and rack fronts clear. Stash larger items in front cabinets so others can access equipment safely.
Watch the Clock on Busy Equipment
If you’ve noticed that a piece of equipment is being used constantly during your workout time, be mindful of its popularity when you use it. Stick to reasonable work and rest intervals (e.g., two or three sets, minute-long rests) before freeing up the station for someone else. If you need longer rest, step aside so someone else can get a set in.
Set Weights Down With Control
Lower dumbbells and barbells safely. Only drop weights where the gym allows it and when the flooring is designed for impact.
Use Headphones and Manage Volume
Keep music, videos, and timers in your ears. External audio distracts neighbors who are trying to focus.
Save Phone Calls for Later
Please avoid taking a calls in public areas or during active classes & sessions.
“Work In” Politely
If you need a machine, wait at a respectful distance and ask about the wait (you can even ask to work in politely. Gym etiquette while you’re waiting for a machine comes down to simple, polite communication. If someone is waiting while you rest, offer to alternate sets. If you’re the one waiting, ask how many sets are left.
Lift Safely Around Others
Do not add or remove plates from a rack someone is using. Wait until their set ends before walking close, re-racking, or adjusting nearby equipment.
Be Respectful If You Film Yourself Working Out
If you record for form checks or for social media, keep the frame tight, avoid catching others in your shot, and skip tripods during busy hours. Honor no-video zones, and never film people without consent.
Dress for Safe Movement
Choose proper athletic shoes and well-fitting clothing that lets you move freely and protects upholstery on benches and machines. Avoid hardware that can snag benches or pads.
Give others privacy and space
Unless you’re watching a fitness competition, you shouldn’t be staring at someone in a gym. No one should have to feel like they’re being watched or creeped on by someone while they work out, and you don’t want to contribute to making someone feel uncomfortable.
Move Free-Weight Work Away From the Rack
When you’re working out with free weights, grab your dumbbells or kettlebells before stepping back to a training zone. Crowding the weight rack blocks returns and creates congestion.
Stay Home When You’re Sick
Rest is part of progress, and it protects fellow members. If you’re feeling sick, don’t come into the gym and potentially spread the illness to others.
Personal items
Balance will not be responsible for any items lost or stolen. Items may not be stored overnight. Any items left behind will be held in lost and found for a maximum of 30 days and then disposed of or donated.
Personal Conduct
Balance condemns racist, sexist and xenophobic speech and behaviors.
Balance promotes an environment that supports equality and fairness, empathy and respect. Any incidents will not be tolerated. When reported proof of that speech or behavior is presented, you will be prohibited from participating in Balance services and activities.
